ADULT COMPLIANCE REQUIREMENTS
This applies to COACHES, ASSISTANT COACHES, TEAM MANAGERS, ASSISTANT TEAM MANAGERS, and PLAYERS who will be turning 18 during the seasonal year (players are required to complete SafeSport only).
Any Adult participating with the team at practice, on the player sideline during a game, accessing the team account in GotSport MUST have the following:
- Approved Background Check (must be updated every two years)
- Current SafeSport Training certificate (must be updated every year)
- Current CDC Heads Up Concussion training certificate

PREPARING YOUR GOTSPORT TEAM ACCOUNT FOR INITIAL ROSTER CAPTURE
UPDATE/UPLOAD PLAYER PHOTOS:
Every player on your team must have a CURRENT passport style photo uploaded into their individual player accounts in GotSport. Before the rosters are generated, every player’s photo should be checked to verify the following:
- Does the player have a photo?
- Is the player’s photo current?
- Is the player’s photo appropriate? (photo should be a passport style ID photo)
- Is the player’s photo in focus?
YOUR TEAM’S INITIAL ROSTER AND VIRTUAL PLAYER CARDS WILL NOT BE GENERATED (CREATED) UNTIL ALL PLAYERS ON YOUR TEAM HAVE A CORRECTLY CROPPED AND APPROPRIATE PHOTO !!
It is ideal if the team manager takes and updates their team’s player photos every year. Photos can easily be taken at a pre-season practice with a smartphone. Most smartphones also have editing features that allow cropping/editing of the photo(s) if necessary.
UPDATE PLAYER JERSEY #’S:
Some competitions require the player’s correct jersey number be printed beside the player on the team’s Official Roster. To have the correct jersey numbers generate/print on your Official Roster, jersey numbers must be correct in the current seasonal year GotSport WDDOA Team/Player Registration Event (official roster).

GAME DAY ROSTER – BE PREPARED !
Items to take care of BEFORE GAME TIME and BEFORE arriving at the field:
- Update your Jersey #’s in GotSport **VERY IMPORTANT Jersey #’s are entered correctly**
- Build your Game Day Roster / Add or Remove CLUB PASS PLAYERS
- PRINT your Match Card(s) – AFTER 12:00 pm (noon) FRIDAY prior to the weekend

UPDATING THE JERSEY #’S:
Jersey #’s can be edited within a specific competition throughout the season to correctly reflect the numbers players will be wearing during a game by anyone with access to the Team in GotSport. This is often necessary when Club Pass players have been added to a game day roster. It is very important to have the correct jersey numbers print on the Game Card to alleviate potential confusion that may be caused. The referees rely on the information printed on the Match Card when recording calls during an official match.

GAME TIME – WHAT EACH TEAM MUST BRING:
Each team MUST BRING the following to EVERY GAME:
- A Match Card PRINTED from GotSport
- Player Cards for every player participating with their team
Note: WDDOA utilizes Virtual Player Cards for all Flights (Platinum, Prime, Challenger, and Alpha).
MATCH CARDS
To access your Event Roster and Match Card in GotSport
IMPORTANT! CHECK the match card to be certain that ALL players planning to participate in the upcoming game are correctly printed on the match card – Handwritten players (regardless of the reason why they are handwritten or who wrote them) result in an automatic forfeit and possible $250 fine. BEFORE the game is the team’s opportunity to correct any omissions and reprint the match card.
PLAYER ID CARDS
WDDOA utilizes VIRTUAL PLAYER CARDS. All teams participating in Platinum, Prime, Challenger, and Alpha Flights will be checked in at the field using VIRTUAL PLAYER CARDS. Teams must have their virtual cards ready for inspection at the field via a smartphone/tablet prior to the game.

PRINT AND BRING YOUR MATCH CARD TO THE GAME !
CHECK THE SCORE AND THE YELLOW/RED CARDS BEFORE SIGNING !!!
At the completion of your game, the referee will ask a representative from each team to sign the match card. By signing the card, this means you agree with what has been recorded on it. This is your team’s opportunity to review the card and check that you agree with the score and also that you agree that any red or yellow cards issued were attributed to the correct individual.
WHAT HAPPENS TO THE MATCH CARD AFTER THE GAME?
WDDOA MUST RECEIVE THE ORIGINAL MATCH CARD
What does this mean? How does WDDOA receive them?
- PLATINUM Games – for all Platinum games, the REFEREE will keep the Original Match Card upon completion of the game, and the REFEREE will be responsible for getting the Original Match Card to the site coordinator, who will turn it into WDDOA
- PRIME Games – for all Prime games, the REFEREE will keep the Original Match Card upon completion of the game, and the REFEREE will be responsible for getting the Original Match Card to the site coordinator, who will turn it into WDDOA
- CHALLENGER (NEUTRAL) Games – for Challenger NEUTRAL games (meaning that the WDDOA Office scheduled the game because the Home Team elected to utilize the Neutral Site Scheduling Model) are designated in the schedule with the HOME team (the first team appearing in the schedule) listed with the word “Neutral – ” before the club/team name – the REFEREE will keep the Original Match Card upon completion of the game, and the REFEREE will be responsible for getting the Original Match Card to the site coordinator, who will turn it into WDDOA
- CHALLENGER (HOME/AWAY) Games – for Challenger HOME/AWAY games (meaning that the HOME club scheduled the game because the Home Team elected to utilize the Home/Away Scheduling Model) are designated in the schedule with the HOME team (the first team appearing in the schedule) NOT having the word “Neutral – ” before the club/team name – the WINNER of the game, or the HOME TEAM in the case of a tie, is responsible for mailing or delivering the ORIGINAL match card to WDDOA
- ALPHA Games – for all Alpha Games, the WINNER of the game, or the HOME TEAM in the case of a tie, is responsible for mailing or delivering the ORIGINAL match card to WDDOA
Round Rock, TX 78665
Why is this so important?
In ALL SCENARIOS, WDDOA must receive the Original Match Card. Teams must understand that the Original Match Card is the Official Report of what happened on the field during the game – in addition to documenting the score, this Official Game Report documents yellow/red cards administered, adult ejections, club pass players, players serving suspensions, write-in violations, weather delays, signatures, and essentially anything that may have occurred during the game. Scans, copies, faxes, photos, or any other type of electronic version of the match card are often out of focus, sometimes only partially visible or copied, and usually very difficult to read.
WDDOA reviews every single match card to verify scores, verify misconduct, check for rules violations, etc.
Photo Copies
It is recommended that both teams (usually the Team Manager) take a photocopy of the final signed match card upon completion of the game. This can serve as a backup in the situation where the match card becomes lost or damaged in some way. This photo or electronic copy should be considered a BACKUP in the case the Original Match Card becomes illegible or lost.
CLUB PASS
CLUB PASS PLAYER: A Club Pass Player is a properly registered player allowed to participate with a team during league play as long as they meet certain stipulations. Club Pass players must be officially rostered to a primary team within the SAME CLUB as the Club Pass team and their primary team must be playing in a sanctioned league. Suspended players are not eligible to Club Pass until such time they have served their full suspension with their primary team.
WDDOA follows the Club Pass Rules as set by STYSA. For the full set of rules governing Club Pass, visit Section 3.8 of the STYSA Rules and Procedures.
WDDOA Club Pass Player Weekly Deadline: LIFTED
The ability to add club pass players in the GotSport system will remain open.
Club Pass player(s) must be added to the team’s game day roster and printed (from GotSport) on the match card in order to be eligible to participate. If a player is not printed on the match card (primary player and/or club pass) they are not eligible to participate. NO HANDWRITTEN PLAYERS ARE ALLOWED. This is an automatic forfeit, no exceptions regardless of the situation and/or registration status of the handwritten player.

ENTERING SCORES & RED / YELLOW CARDS
Upon completion of your game, BOTH TEAM MANAGERS must:
- ENTER/REPORT SCORES IN GOTSPORT WITHIN 24 HOURS AFTER EVERY GAME
- ENTER/REPORT YELLOW & RED CARDS IN GOTSPORT WITHIN 24 HOURS AFTER EVERY GAME
Once WDDOA receives the Official Match Card, WDDOA will verify that all scores and cards were entered correctly.
HOW DO I ENTER SCORES?
There are multiple ways to enter the score and red/yellow cards after the game.
- Scores may be entered by Clicking on “Scoring Input” at the upper right hand corner of your online published Event Schedule. Enter the PIN # (found on your Game Card). Then enter game information (scores, red/yellow cards).
- Scores and Red/Yellow Cards may be entered by scanning the QR code printed on the game card.
All of these methods, along with the applicable web address, or phone number, or QR code, as well as the ID #’s, Game #’s are all printed at the top of each individual game card.

STANDINGS FAQ’s
Standings are available on the GotSport Schedule/Event page specific to the individual competition. With that in mind, three of the most common questions that the WDDOA Office receives on a regular basis regarding standings are:
Do the scores for No Contest Games count in the standings? No, scores for WDDOA No Contest games do not count in the standings. With that said, there is no way to “tell” GotSport not to include the No Contest game scores when calculating the standings in the system. WDDOA removes these scores prior to determination of the final standings by switching the game status to “Friendly” at the end of the season. This is a manual process. In year’s past, WDDOA tried to leave these games unscored in the system, however, teams would often re-input the scores. Many teams also want to know what the non-conference scores of future opponents are in effort to plan for upcoming matches. With these factors in mind, WDDOA allows the scores to be posted and removes them at the end of the season.
Why is my Goal Differential wrong? Goal differential is calculated according to the WDDOA Rules of Competition which can be found on the “General Documents” page of the WDDOA website. If you refer to the Tie-Breaking Procedures in section 2.4.14, their is a maximum goal differential of 4 goals. The rules go into detail as to how this is applied and calculated in various situations. Therefore, if your team won a game 9-1, your “Goals For” would calculate to 4, not 8. There are also aspects of the WDDOA scoring rules that are too complicated to program into GotSport. The ultimate official team standings are manually checked and calculated by WDDOA staff to ensure that official results are determined and in accord with the WDDOA Rules of Play.
Why hasn’t the score been entered for our game? As stated above, it is the responsibility of the team (team manager, coach, or whomever the team designates) to enter the game score within 24 hrs upon completion of the game. If this has not been done correctly, then WDDOA will enter the score once the game card has been received in the WDDOA Office and been reviewed. So if your score has not been entered, then the team representative for your team has not entered the score as required, and additionally, the match card may not have been properly delivered to the WDDOA Office.
DISCIPLINE
PENALTY POINTS: Penalty Points shall be awarded to individual players and coaches for any recorded cautions and/or ejections received. Disciplinary action will result due to accumulation of points as stipulated in the STYSA Administrative Handbook Section 4.9.4.
It is the team’s responsibility to keep track of penalty points (yellow cards, red cards, ejections, etc) obtained by players, coaching staff, managers, and/or spectators and to understand the resulting disciplinary actions that must be taken depending on the situation.
Teams should not rely on GotSport to “know” whether or not a participant should be sitting out due to their prior infractions. GotSport is a tool whereby very useful, has its limitations. Certain types of disciplinary actions specific to South Texas cannot be programmed into a system designed to accommodate organizations across the country. GotSport also relies completely on information that is manually input. If penalty points for any given game or games is not input correctly, on time, or at all, GotSport can’t know.
WDDOA manually reviews every match card once it is received and checks that results have been input correctly and that any necessary suspensions are reflected in the system. WDDOA also verifies that participants have served their required suspensions. If a player that should have been serving a suspension (sitting out) participates in a game, the team faces a potential forfeit.
This is one of the many reasons why it is paramount that teams send their match cards to the WDDOA Office within 72 hours of game completion !!

GAME RESCHEDULING INFORMATION
What is a RESCHEDULE REQUEST vs a RAINOUT RESCHEDULE ?
It is important to understand the difference!
Reschedule Requests: These are instances where one or other of the teams in a league match have encountered a schedule conflict and would like to pursue options to reschedule the game. There is a strict PROCEDURE and also a FEE associated with these types of requests. Ultimate reschedule of the game is NOT GUARANTEED. The request must be submitted (with payment) a minimum of EIGHT (8) days prior to the originally scheduled match, both teams must agree, and there must be field and referee availability. All communication between teams must be documented in the GotSport Chat system.
Rainout Reschedules: These are instances when a game is unable to be played or canceled due to weather-related reasons that incur complex closures or unsafe playing conditions. There is no fee to reschedule a game that was rained out.
The process is slightly different for the PLATINUM / PRIME / CHALLENGER / ALPHA Flights. Click on the appropriate link to find specific instructions for the Flight in which your team is participating.
